Situation

Our client was required to assist a financial services organisation with a remediation exercise. Our client had to review end-client customer data exported from a customer management database. The remediation review process involved a mix of customer profile analysis, document review and complex calculations, managed across several technology systems.

Solution

Our solutions and custom development teams worked closely with our client to develop several workflows to support the review objectives and link elements of the review together. The custom solutions included:

• Processing the customer information so that they can be reviewed in Relativity and critical information and documents linked to each customer profile

• Linking specific review categories and fields in Relativity to our client HighQ collaborate system which they were using to manage other (non-review related) aspects of their matter. This was set up to occur automatically and as soon as a change was made within Relativity

• An automated system that ensured quality and accuracy of the decisions made by our client when reviewing and making decision on documents

• Development of a custom, and secure environment in which complex financial calculations could be run, based on the information contained in Relativity and the results of those calculations automatically inputted into the Relativity fields. Where relevant, these figures were then also replicated in the client’s HighQ environment

Impact

The development work done to augment the review database’s standard operation and link it with the client’s other systems allowed our client to:

• Significantly reduce the manual work that would have otherwise been done in running the systems separately and duplicating information throughout each

• Minimise the risk associated with manually tracking work across multiple systems and avoid the human error that is associated with large scale manual processes

• Complete the review, analysis, calculations, and ultimate remuneration far sooner than without the automated workflows
